Information we collect
To process royalty payouts, comply with US tax reporting, and administer publishing rights, we collect and securely store the following information from authenticated users:
- Identity and contact: full legal name, mailing address, email, phone number. Used to verify identity, deliver statements, and contact you about your account.
- Tax identification: Social Security Number (SSN) or Employer Identification Number (EIN), tax ID type, business entity name where applicable, and W-9 attestation. Used solely for IRS 1099 reporting on royalty distributions.
- Bank account details: ACH routing number, account number, account holder name, account type (individual / business), country, and currency. Used to send your royalty payouts. Encrypted at rest; the full account number is never displayed back, only the last four digits.
- PayPal email address (where PayPal payout is selected as the destination).
- Rights-organization affiliations: ASCAP / BMI / SESAC / SOCAN / GMR / PRO IPI numbers, publishing company affiliations, and song catalog metadata you submit for registration.
- Royalty statement and payout history: line-item royalty data ingested from PROs and DSPs, attributed to your works.
Submitting a privacy request
We do not sell personal data. Authenticated users can submit access, export, rectification, or deletion requests directly from the writer portal’s privacy-request page. Each request is timestamped and auditable. If you cannot access your account, contact support with the subject line “Privacy Request” and include the email used for your account.
Retention
We retain operational records (statements, registration history, payout logs) for the duration of audit and compliance obligations tied to publishing workflows. Tax-reporting records are retained for the period required by applicable IRS rules.
Cookie policy
We use essential cookies to keep you logged in and secure the portal. We only collect performance / analytics data (e.g. Web Vitals) with your consent. Your preference is stored in localStorage and honored on subsequent visits.
Third-party services we call from the browser: Supabase (authentication and APIs), Stripe (payments), and Sentry (error reporting). These services may set their own cookies when used; we restrict loading of analytics to consented users only.
